  • Answering phone calls, providing basic company information, and transfer calls to appropriate parties or takes messages.
  • 2. Preparing letters and sending e-mails as requested.
  • 3Preparing minutes of the meeting.
  • Setting up and managing paper and electronic filing systems, recording information, maintaining documents.
  • Managing and maintaining executives' schedules.
  • Making travel arrangements for executives, accommodation, itineraries, and all correspondence related to arrangements as needed.
  • Maintaining and updating contact lists.
  • Tracking, ordering, and maintaining office supplies.
  • Coordinating and directing housekeeping.
  • Operating office equipment, such as fax machines, scanners, copiers, or phone systems and arrange for repairs when equipment malfunctions.
  • Helping in organizing events such as meetings, business lunches, and exhibitions.
  • Preparing information and research for executive needs.
  • Minimum Two years prior experience in administration or secretary work.
  • Very good in the English language.
  • Proficient computer skills, including Microsoft Office Suite.
  • Excellent written and verbal communication skills.
  • Able to concentrate on multiple tasks at once.
  • Excellent time management and prioritization skills.
