Skills:

Level of education: Degree (Preferably in Logistics), from an accredited and reputable institution.

Level of experience: A minimum of 6 years’ experience in a similar position.

Age bracket 28 to 35 yrs preferred

Fluency in English is a must (reading, writing and speaking).

Computer skills: Proficiency in Microsoft Office, specifically in Excel. Working knowledge of any ERP tool.

Knowledge of basic logistics functions related to imports and local distribution.

Should have a good knowledge of purchase procedures, import clearance processes, customs rules and regulations and documentation and approvals requirements

Should be able to manage communication with suppliers, clearing agents, government authorities and internally with supervisor and other teams.

Should have problem solving abilities.

Should have good negotiation skills and should be able to maintain good relationship with suppliers and vendors.

Responsibilities
Main Areas of Responsibilities and Accountabilities:
Summary:

Handling logistics, warehouse, transportation and customer services
-
Ensuring premises, assets and communications are used effectively
-
Manage orders and arrange stocking of raw materials to ensure they meet needs
-
Liaising and negotiating with freight forwarders, clearing agents and transporters.
-
Keep track of quality, quantity, stock levels, delivery times, transport costs and efficiency
-
Resolve any arising problems or complaints
-
Meet cost, productivity, accuracy and timeliness targets
-
Comply with laws, regulations and requirement
-
Prepare accurate reports for upper management
-
Purchase orders:
-
Maintain interface and good relationship with suppliers.
-
Accurately implement the procedure for placing purchase orders with all suppliers after approval from management
-
Ensure purchase orders are placed on time with no errors
-
Follow up for purchase orders with suppliers and timely update to relevant parties
-
Handle orders from suppliers to customers directly
-
Shipments, Deliveries and vendors relations:
-
Handle shipments from suppliers (air/land/sea) with short lead time and optimum cost.
-
Ensure quality control and safety of goods, and take necessary measures on inbound and outbound goods flow of goods.

In case of damages / mismatches, handle claims with suppliers / insurance
-
Manage all import shipments with clearing agents.
-
Handle documentation and approvals needed for imports and complete all pre requisites.
-
Maintain good relationship with vendors with regular meetings and visits

Manage outbound deliveries from warehouses
-
Inventory and Logistics Transactions Management
-
Reconcile monthly stock at the warehouse with the stock in the system, and ensure regular control visits to the warehouses.

Ensure FIFO mode of delivery for all outbound transactions

Ensure closing of all logistics transactions by month end

Cost reduction:
-
Ensure zero or minimum demurrage charges / fines / claims
-
Take measures (like consolidation of deliveries, managing terms of delivery etc) to reduce expenses

Logistics Procedures and guidelines:
-
Ensure that entire operations are complying with the local rules and regulations and with the company’s internal requirements.
-
Identify issues and handle complaints to minimize time and expenses for delivery and documentation and to improve customer service.

Reports:

Prepare reports (sales / purchases / inventory etc) as requested by the Head of Logistics / Management

Interaction with other departments:

Coordinate with IT, credit, accounts & sales teams to ensure smooth flow of work
